Position Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant cum Administrative Head to support our team. This role combines executive assistance with leadership in office administration and logistics. The ideal candidate will excel in vendor management, travel coordination, event logistics, and maintaining seamless operations for a dynamic team.

Key Responsibilities:

1. Vendor Management:

  • Identify, onboard, and maintain relationships with vendors for office supplies, event management, and other services.
  • Negotiate contracts, ensure quality of service, and manage vendor payments.

2. Team Logistics: 

  • Coordinate domestic and international travel arrangements, including flights, accommodations, visas, and transportation for team members.
  • Manage team schedules, ensuring efficient use of time and resources.

3. Office Administration:

  • Oversee daily office operations to maintain a productive work
    environment.
  • Ensure office facilities are well-maintained and equipped.

4. Calendar and Scheduling Management:

  • Manage executive calendars, schedule meetings, and coordinate appointments.
  • Ensure timely communication and reminders for key activities and deadlines.

5. Event Logistics: 

  • Plan and execute events for 30-50 participants, including team offsites, internal meetings, and external engagements.
  • Handle event logistics such as venue booking, catering, travel arrangements, and technical setups.

6. Coordination with UHNI Offices:

  • Act as a liaison with the offices of Ultra High Net Worth Individuals (UHNIs) to schedule meetings, manage correspondence, and ensure smooth communication.

7. Team CRM Database Management:

  • Maintain and update the teams CRM database with accurate and current information.
  • Generate reports and insights from the database to support team activities.

Required Skills and Qualifications:

  • Proven experience (25 years) in a similar role, preferably supporting senior executives or managing administrative operations.
  • Exceptional organizational and multitasking skills with a keen eye for detail.
  • Strong interpersonal and communication skills, both written and verbal.
  • Proficiency in using office tools, CRM software, and project management platforms.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Experience in event planning and logistics for medium-sized groups.
  • Familiarity with UHNI engagement and protocol management is a plus.
  • Bachelors degree or equivalent in Business Administration, Management, or a related field.

Compensation

Remuneration will be competitive with the Indian development sector pay scales and commensurate with the candidate's experience levels.
